Website and Mobile Application - Beta Version

Privacy Policy

Bill’s Bridge, Inc., a Delaware Corporation ("Bill's Bridge," "we," "us," or "our"), provides the Bill's Bridge website (bills-bridge.com) and mobile application (together, the "App"). This Privacy Policy describes how we collect, use, disclose, and protect information in connection with the App during the current beta testing period ("Beta"), and the choices and rights available to you.

This Privacy Policy applies together with, and does not replace, the Bill's Bridge Terms of Use and, for beta participants, the Bill's Bridge Beta Participation Agreement. Please read all three documents before creating an account. Capitalized terms not defined here have the meaning given in the Terms of Use.

1. Introduction and Scope

Bill’s Bridge, Inc. is located at 25 N River Lane PMB 25495, Geneva, IL 60134. This Policy covers information collected through the App, the bills-bridge.com website, related communications (email, SMS, push notifications), and customer support interactions. It does not cover the practices of third-party websites, applications, or services that the App may link to or integrate with, including any third-party site a Guide references.

"Personal Information" means information that identifies, relates to, describes, or could reasonably be linked, directly or indirectly, with a particular individual or household. Certain Personal Information you provide through the App, such as information about a diagnosis, symptoms, medications, treatment, or care needs, is sensitive health-related information. We refer to this category throughout this Policy as "Health and Care Information," and in several states it is separately defined and specially protected as "Consumer Health Data" (see Section 8).

2. Important Notice About the Beta

The App is currently in a limited beta test. Features may be incomplete, may not function as intended, may change without notice, or may be removed. In particular, the AI Companion feature is not currently active and, when it is activated, will be subject to the additional disclosures in Section 9 below and to the AI Companion disclosures in the Terms of Use. We encourage you to review new or updated features carefully before relying on them.

Bill's Bridge is not a health care provider and does not practice medicine. The App is designed to help you organize, track, and communicate information related to a cancer diagnosis and care journey, it is not a substitute for professional medical, legal, or financial advice, and it is not an emergency service. Section 4 of the Terms of Use contains the full Medical Disclaimer and Emergency Use Warning, which you must accept before using the App.

3. Information We Collect

We collect the following categories of information:

(a) Information You Provide Directly

    • Account and profile information: name, email address, phone number, password, and role within a AdvocateCircle (Patient, Lead Advocate, Advocate, Supporters, or Viewer.).
    • Health and Care Information you choose to enter: daily feeling, diagnosis and treatment information, medications and dosages, symptoms, vitals, hydration, bowel movement, appointments and provider notes, and similar care-related notes.
    • Advocate Circle information: names, contact details, and relationship information for people you invite into your Advocate Circle, and permission settings you assign to them.
    • Planning Ahead content: information you choose to enter in the Comfort Planning, Legacy, and Estate Planning areas of the App.
    • Communications: messages sent within the App among Advocate Circle members, Support Wall, and messages you send to our support team.
    • Feedback: beta feedback, bug reports, and survey responses (governed together with the Beta Participation Agreement).
    • Payment information: if and when in-app purchases (such as the optional $2.99 Support Wall contribution) become active, payment card information will be collected and processed by our third-party payment processor, not stored directly by Bill's Bridge. Payment features are not active as of the date of this Policy.
  • Stories: stories you choose to submit for publication and related photos, audio, or video

(b) Information Collected Automatically

  • Device and usage data: device type, operating system, app version, log data, crash reports, and general usage patterns (such as which screens are used), collected through our product analytics provider.
  • Cookies and similar technologies on the bills-bridge.com website, for basic site functionality and aggregate usage measurement.

We do not send the following to our analytics provider, regardless of how you use the App: medication names or dosages, diagnosis or symptom detail, appointment or provider notes, Advocate Circle communications, Planning Ahead / Legacy / Estate Planning content, or AI Companion prompts or responses.

(c) Information from Third Parties and Integrations

  • Google Calendar: if you choose to connect a Google Calendar, we access calendar data through Google's authentication process (OAuth) solely to display and coordinate appointments within the App. Access tokens are encrypted. You may disconnect this integration at any time in Settings.
  • As of the date of this Policy, the App does not integrate with any electronic health record (EHR) system (such as Epic or MyChart), any hospital, hospice agency, or health care provider system, or any wearable or health-monitoring device. If that changes in the future, we will update this Policy and obtain any additional consent required by law before doing so.

4. How We Use Information

We use the information described above to:

  • provide, operate, and maintain the App, including Advocate Circle coordination, Guides, and Planning Ahead features;
  • authenticate accounts, enforce permissions within an Advocate Circle, and maintain the security and integrity of the App;
  • communicate with you about your account, the beta program, product updates, and support requests;
  • when the AI Companion is active, generate the educational and organizational assistance described in Section 9;
  • improve and develop the App, including through aggregated or de-identified analysis of usage patterns;
  • detect, investigate, and prevent fraud, abuse, and security incidents; and
  • comply with applicable law and respond to legal process.

We do not sell your Personal Information or Health and Care Information, and we do not use Health and Care Information or Consumer Health Data to serve you targeted or personalized advertising. We do not use automated processing to make decisions that produce legal or similarly significant effects concerning you.

5. How We Share Information

  • With your Advocate Circle. Information you enter is visible to other Advocate Circle members only to the extent permitted by the role and permissions you or the Lead Advocate assign. Bill's Bridge does not independently expand a member's access beyond those permissions.
  • With service providers. We share information with vendors who host, secure, and operate the App on our behalf, currently including our cloud infrastructure, database, and hosting providers, our product analytics provider, and (when connected) Google Calendar, under contracts that limit their use of the information to providing services to us.
  • With an AI vendor, when the AI Companion is active. See Section 9.
  • For legal reasons. We may disclose information to comply with a subpoena, court order, or other legal process, to enforce our Terms of Use, or to protect the rights, property, or safety of Bill's Bridge, our users, or others.
  • In a business transfer. If Bill's Bridge is involved in a merger, financing, acquisition, or sale of assets, information may be transferred as part of that transaction; we will provide notice before your information becomes subject to a different privacy policy.
  • With your consent, or at your direction (for example, if you export or share information from the App or if you share a Story Submission). Stories are published only with the separate Story Consent, and are anonymized by default.

We are not currently a HIPAA-covered entity or business associate. Bill's Bridge is not a health care provider, health plan, or health care clearinghouse, and, as of the date of this Policy, does not create, receive, maintain, or transmit health information on behalf of any HIPAA-covered entity and has not signed a business associate agreement with any covered entity. As a result, information you provide through the App is generally not regulated as "protected health information" under HIPAA. We nonetheless apply administrative, technical, and physical safeguards designed to protect Health and Care Information, and this Policy — together with the state-law protections in Section 8 — governs how that information is handled. If our relationship with a health care provider, hospital, or hospice organization changes so that HIPAA applies to some or all of the information we handle, we will update this Policy accordingly.

6. Your Privacy Choices and Rights

Regardless of the state in which you live, you may contact us at privacy@bills-bridge.com to:

  • request access to, or a copy of, the Personal Information we hold about you;
  • request correction of inaccurate Personal Information;
  • request deletion of your account and Personal Information, subject to Section 11;
  • withdraw any consent you previously gave (for example, for the AI Companion or a specific integration), which will not affect processing that already occurred;
  • ask questions about this Policy or how your information is handled.

We will verify your identity before responding to a request (typically using your registered account credentials) and will respond within the time required by applicable law. If you are not satisfied with our response, Sections 6(b) through 6(d) below describe additional state-specific rights, including a right to appeal in some states.

An authorized agent may submit a request on your behalf where permitted by law; we may require proof of your identity and of the agent's authority to act for you.

7. State Privacy Law Disclosures — General

A number of states have enacted comprehensive consumer privacy laws that may apply to residents of that state, including California, Colorado, Connecticut, Virginia, Utah, and a growing list of other states. Because our beta participants may reside anywhere in the United States, we describe below, at a general level, the categories of rights those laws provide and extend the same practices to all U.S. users of the App, regardless of state of residence or whether a particular law's applicability thresholds are met.

(a) Categories, sources, and purposes

The categories of Personal Information we collect, the sources of that information, and our purposes for collecting and sharing it are described in Sections 3, 4, and 5 above. In the preceding twelve months, we have not sold Personal Information and have not shared Personal Information for cross-context behavioral advertising.

(b) Your rights

Subject to certain exceptions, you may have the right to: (i) confirm whether we process your Personal Information and access it; (ii) correct inaccuracies; (iii) delete your Personal Information; (iv) obtain a portable copy of the Personal Information you provided to us; (v) opt out of the sale of Personal Information, of targeted advertising, and of profiling in furtherance of decisions that produce legal or similarly significant effects (we do not currently engage in any of these three practices); and (vi) not receive discriminatory treatment for exercising these rights.

Residents of Colorado, Connecticut, and other states that provide a right to appeal may appeal a denied request by contacting us at privacy@bills-bridge.com with the subject line "Privacy Rights Appeal." We will respond to an appeal within the time required by applicable law and will explain in writing the reasons for our decision. Where required, we will also provide information about how to submit a complaint to your state attorney general or other regulator.

(c) California residents

In addition to the rights described above, California residents have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA"). Health and Care Information is "Sensitive Personal Information" under the CCPA; we use and disclose Sensitive Personal Information only as reasonably necessary to provide the App and related services you request, and not for the purpose of inferring characteristics about you. Because we do not use Sensitive Personal Information for any other purpose, no additional "right to limit" mechanism is required, but you may still contact us with questions or requests at privacy@bills-bridge.com. We do not sell or share (as "share" is defined under the CCPA, including for cross-context behavioral advertising) Personal Information. California residents may also designate an authorized agent as described in Section 6.

(d) Nevada residents

Nevada residents may submit a request to opt out of the sale of certain covered information via an online contract for monetary consideration; we do not engage in sales of this kind. Nevada's specific protections for consumer health data are addressed in Section 8.

8. Consumer Health Data — Washington, Nevada, Connecticut, and Other States

Washington, Nevada, and Connecticut, among other states, have enacted laws that specifically protect "Consumer Health Data" — generally defined to include personal information that identifies a consumer's past, present, or future physical or mental health status, and information that could reasonably be linked with such data. Diagnosis, symptom, medication, treatment, and similar information you enter in the App is Consumer Health Data under these laws. Because Beta participants may be located in any of these states, we apply the following practices to all users of the App:

  • We collect and share Consumer Health Data only with your affirmative, opt-in consent or as strictly necessary to provide a product or service you have requested. We obtain this consent through the acknowledgments you complete when you create an account and, for beta participants, through the Beta Participation Agreement.
  • We do not sell Consumer Health Data, and we do not disclose Consumer Health Data to a third party for compensation.
  • We do not use geofencing in a 2,000-foot radius (or comparable distance under applicable law) around a health care facility to identify, track, or send messages to, or infer information about, consumers seeking health care services.
  • You may withdraw consent to our collection or sharing of Consumer Health Data at any time by contacting privacy@bills-bridge.com. We will stop collecting or sharing your Consumer Health Data as soon as reasonably practicable, and no later than the time required by applicable law, after we receive your withdrawal.
  • You may request deletion of your Consumer Health Data. We will delete such data, and will instruct any service providers, contractors, or affiliates who have received it from us to also delete it, within the time required by applicable law after we receive a verified request.
  • Employees and contractors who process Consumer Health Data are subject to confidentiality obligations, and access is limited to those who need it to perform their role.

9. The AI Companion and Your Information

When active, the AI Companion feature uses a third-party artificial intelligence service to help you prepare questions for a health care visit, organize your notes, and receive plain-language educational information. If you use the AI Companion, the information you enter into that feature — which may include Health and Care Information — is sent to our AI service provider to generate a response.

  • We use AI tools and vendors that are contractually restricted from using your information to train their underlying models and from retaining it beyond what is necessary to provide the service.
  • AI Companion outputs are provided for your review and are not automatically saved to any medical record, and are not reviewed or approved by a medical professional before being shown to you.
  • The AI Companion is not a substitute for professional medical advice and must not be used for diagnosis, treatment recommendations, or emergencies. See the Medical Disclaimer and AI Companion Disclosure in the Terms of Use for the full disclosure you must acknowledge before using this feature.
  • As of the date of this Policy, the AI Companion is not active in the App. This Policy will be updated, and any additional consent required by law will be obtained, before the feature is activated for beta or general use.

10. Text Messaging (SMS)

Text Messaging (SMS). If you opt in to text notifications from Bill's Bridge, Inc., we collect your mobile number and your consent to receive texts. We use this information only to send the notifications you choose. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Text messages from Bill's Bridge never include diagnoses, medication names, or other health details. You can opt out at any time by replying STOP.

11. How We Protect Information

We use administrative, technical, and physical safeguards designed to protect information in Bill’s Bridge, including encryption of data in transit and of stored authentication tokens, access controls that limit who can view information within an Advocate Circle, and ongoing security testing as we move through beta toward public launch. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we experience a security incident that affects your information, we will notify you and take other steps required by applicable law.

12. Data Retention

We retain Personal Information for as long as your account remains active and as needed to provide the App. If you delete your account, we will delete or de-identify your Personal Information within 30 days, except where we are required or permitted by law to retain certain information for a longer period (for example, to resolve disputes, enforce agreements, or comply with legal obligations). Published stories that are anonymized may remain after account deletion unless the submitter withdraws their consent. At the conclusion of the beta program, account and data deletion will also be handled as described in the Beta Participation Agreement.

13. Children's Privacy

Bill’s Bridge is not directed to children, and account holders who create and administer a Advocate Circle must be at least 18 years old. We understand that a patient profile within an Advocate Circle may relate to a minor's care in some cases; where that occurs, a parent or legal guardian must create and control the account and any information relating to the minor on the minor's behalf. We do not knowingly collect Personal Information directly from a child under 13 (or under 18 for Consumer Health Data in states that apply that threshold) other than through a parent or guardian's account in this manner. If we learn that a child has provided us with Personal Information directly and without appropriate parental or guardian involvement, we will take steps to delete that information.

14. Guides, Planning Ahead, and Third-Party Content

Bill’s Bridge Guides library and other educational content may reference or link to third-party sources, such as the American Cancer Society, National Cancer Institute, MedlinePlus, or the World Health Organization. We are not responsible for the privacy practices or content of those third-party sources. Please review the Terms of Use for the full disclaimer applicable to Guides and Planning Ahead content.

15. U.S.-Only Service

Bill’s Bridge is currently offered only to individuals located in the United States and is not directed to, and should not be used by, individuals located outside the United States. If you access Bill’s Bridge from outside the United States, you do so at your own risk and are responsible for compliance with local law.

16. Changes to This Policy

We may update this Policy from time to time, including as the product moves from beta to public launch. If we make a material change, we will notify you (for example, by in-app notice or email) and, where required, obtain renewed consent before the change takes effect. We will maintain a record of the version of this Policy, and the date and manner of each user's acceptance.
